Who we are looking for
This is not a front-of-house or creative marketing role. It's a behind-the-scenes role where the value sits in the admin: the tracker that's always current, the invitations that go out on time, the invoice that's never late, the client gift that arrives the week it should, and the supplier who always gets a reply.
Our events programme is a big part of how we reach listed companies across the ASX and UK: investor dinners, drinks and roundtables with company executives, industry conferences we sponsor and exhibit at, and ongoing sponsorship partnerships across the capital markets industry. You'll be the person who makes sure that programme actually runs, along with the client gifting that keeps signed clients close and the product update emails that keep our customers across what we've shipped.
We believe that organised, proactive individuals with a focus on personal growth can outperform years of experience. This role is high-trust and low-supervision, so you'll be someone who chases loose ends without being asked. You'll ideally bring experience in administration, coordination, events or marketing operations, hands-on experience with an email platform (HubSpot ideally), exceptional attention to detail, and confident written communication with suppliers and partners. You use AI in your day-to-day work and are happy to help your team pick up the same habits. A capital markets or IR background is a bonus, not a requirement, but an interest will go a long way.
This is a part-time role, 20 hours per week, based in our Melbourne CBD office. The team collaborates in the office on Mondays, Tuesdays and Fridays, so some of your hours should overlap with those days. You'll report to the Growth Lead and work closely with our content specialist, sales and CS teams.
The Journey
Within 3 months
- Become familiar with our product offering, events programme and internal processes
- Learn about listed capital markets, our customers and how InvestorHub reaches them through events and sponsorships
- Take ownership of the administration behind our events programme: venue and supplier bookings, invitations, registrations, run sheets and documentation
- Own event and marketing spend day to day, raising and reconciling invoices, chasing approvals and keeping actuals against budget visible
Within 6 months
- Run the client gifting and retention programme end to end, from the gifting calendar and prompts to the CS team through to sourcing, ordering and delivery
- Own post-event reporting on attendance, spend and learnings so the team can see what's worth repeating
- Build and send our product update emails in HubSpot from supplied copy, including QA, segmentation, scheduling and reporting
- Build the calendars, trackers and systems that give the Growth Lead a clear view of what's happening, and that the next person could pick up and run with

- Own post-event reporting on attendance, spend against budget and key learnings, so the team can see what's worth repeating
- Plan ahead by scoping upcoming events and sponsorship commitments before they become urgent
- Several years' experience in an administration, coordination, events or marketing operations role, ideally somewhere you owned how the work got done rather than following someone else's process
- A track record of building systems that outlast you: the tracker, checklist or calendar the next person can pick up and run with
- Exceptional organisation and attention to detail, with an understanding that accuracy matters more than speed
- Confident written communication, particularly with suppliers and external partners where you're representing InvestorHub
- Hands-on experience with an email marketing platform (HubSpot ideally), and confidence building, QA-ing and sending a campaign from copy someone else has written
- Familiarity with standard office and project tracking tools such as Google Workspace, Notion or similar
- You use AI in your day-to-day work and are happy to help your team pick up the same habits
- Comfort working autonomously across part-time hours and managing your own workload without being chased
